Termination of Appointment Letter

A termination of appointment letter is given when the management of an organization decides to part ways with an employee.

This can happen due to several reasons including:

  • A downturn in the fortunes of the organization.
  • A merger between the organization and another corporate entity
  • A change in the organization’s goals
  • Misbehaviour on the part of the employee, among others.

The process of employment follows a pattern. When a candidate applies to a position in an organization, he is invited to an interview. A good interview result allows the organization to issue an offer of employment to the candidate.

If the candidate is satisfied with the terms and conditions of employment as contained in the offer of employment, he accepts the offer in writing. This is the official process of employment.

Some private organisations do not bother to give a written offer of employment and the prospective employee also overlooks the omission.

This may become a problem in the future when an issue of a legal nature arises. Without a letter of employment, the employee may not have any rights to lay claim to.

Termination of appointment of an employee also follows a process especially when the termination occurs as a result of the employee contravening the rules and regulations of the organization.

In such an instance, the process of termination of appointment of an employee starts with queries, at least three warning letters, a suspension, before finally arriving at the final stage which is the termination of appointment.

Also note that when an employee is let go without notice, the said employee will be paid one month’s salary in lieu of notice.

In the same manner that an official letter of employment has to be given to an employee as an indication of employment, so also should a letter of termination of appointment be given to finalize the removal of the employee.
